Manage and coordinate all aspects of event relating to venue to include: Venue research, contract negotiation for meeting and exhibition space, sleeping rooms, f&b, all exhibition suppliers (transportation, utilities, furniture rental, city and venue regulations), research for air and ground transportation options.
• Event Management Budget
Create and manage event budget to include:
Analyzing budgets for potential cost reductions, planning budget to estimate revenue projections, crafting pricing strategy for revenue generating items (exhibitor booths, conference delegates, sponsorship packages).
• Attendee Registration and Housing Management
Manage and coordinate all aspects of attendee registration and housing management to include:
Registration platform research, pre-, onsite and post event registration system management. Negotiate hotel room block, coordinate with Housing Agency or negotiate overflow hotels.
• Conference Content Production
In collaboration with the organizer, conference committee and industry consultants: production of the conference sessions content to include:
Sourcing speakers, moderators, chairperson. Determining conference theme and sessions. Designing final conference agenda.
Speaker and moderator management from all logistics to presentation material, AV needs, editing – proofreading, coordinating with suppliers
• Supplier Research and Contracts Negotiations
Manage and coordinate all supporting suppliers needs to the trade show and conference to include:
Registration – shipment, TAX authorities, housing – utilities, venue, local convention bureaus and cities, AV, furniture rentals, designers, general contractors, shuttles, entertainment.
• On-site Management
Manage and coordinate all requirements for on-site event to include:
Temp staff, room set-ups, f&b/AV/utilities/security reauirements. Hotel and exhibition venue facility management.
• Ancillary Events
Manage all details for additional side-events, dinners, Awards, receptions, hospitality suites, speaker ready rooms, sponsor entitlements, third party events, etc…
• Event Marketing
Work with the organizer to assist and coordinate any event related aspect with the marketing efforts to include:
Copywriting, editing, manage social media, liaise with graphic designer for collaterals, website content, give-aways, branding.
